Flexibility in client partnerships: Creating room for change without losing control
In life, some of us are more flexible than others. While my friend can easily crack out a downward dog, I’ve always struggled just to touch my toes. However, in medical communications, I am much more flexible. I’ve learned when to bend, when to stretch and when to admit that a full backbend may not be in anyone’s best interests.
Flexibility can make the difference between a project that simply follows a plan and one that genuinely supports our client’s changing priorities. Timelines shift. Data are delayed. New stakeholders bring fresh perspectives. When this happens, clients need an agency partner who can respond thoughtfully, adapt the approach and keep up momentum without compromising quality.
Why flexibility matters
Good flexibility is client centred. Projects rarely exist in isolation: they are shaped by evolving evidence, business objectives, stakeholder feedback and the realities of busy teams. Being able to adjust priorities, rework timelines or rethink deliverables helps ensure that the final output remains relevant rather than simply matching what was agreed weeks earlier.
Flexibility also builds trust. Clients want to know that their agency is listening, solving problems and working alongside them. A flexible partner can help absorb uncertainty, identify options and offer recommendations when circumstances change. That responsiveness can be especially valuable in medical communications, where accuracy, compliance and timing are paramount.
The challenge: Flexibility must be managed
Flexibility is not the same as saying yes to everything. We will always try to support our clients, but we also need to ensure that projects remain practical and sustainable. Unmanaged change can quickly affect timelines, resourcing, budgets and team capacity. A small shift in direction may be straightforward; a series of small shifts can become a much larger change in scope. Without open conversations, this can create pressure for both the client and the agency.
One of the most common challenges is shifting billing plans. We scope our projects around an agreed set of deliverables and timelines, and we allocate resources accordingly. If, for example, a delayed review round pushes activity into a later month, our invoicing and resource allocation no longer matches the original plan. This can lead to our team members being overbooked or underutilised, and it complicates financial planning.
This is where transparency becomes essential. When plans change, everyone benefits from understanding the implications on budgets, timings and priorities. Flexibility works best when it is supported by clear communication and shared decision making.
How we make flexibility work
At InterComm, we believe flexibility should be purposeful, practical and transparent. That means listening carefully when priorities change, assessing the impact on the project as a whole and helping clients make informed decisions about the best way forward.
A flexible approach should create confidence, not confusion. By combining responsiveness with clear project management, we aim to give clients the support they need while protecting quality, value, the wellbeing of our team members and the financial stability of our company.
